AutoEDMS v6.5 Service
Release 3 (SR3)

This SR3 Update instruction document was written to work for all release numbers of AutoEDMS v6.5… from the original CD-Rom release (r2) to the latest “SR3 beta” releases (e.g., b126) and everything in between. * Please note – this document is only the “Phase 3” portion of the instructions – you must complete Phase 1 and 2 before you proceed with Phase 3 – for more information, see v6.5 SR3 Update. The SR3 update of AutoEDMS v6.5 requires careful reading of these instructions.

* * IMPORTANT NOTE: In the instructions below, some items are marked with "SR2". These items only apply to AutoEDMS installations where the release number is "r2sr2" or "bXXX" where the XXX is a number (per step 5 of Phase 1). If your AutoEDMS release number is something else, please skip the SR2 items.
1. These
instructions assume v6.5 r2sr3 of
the AutoEDMS Update Utility is running and showing there are files to be copied
to the update area. If you do not see
this information at the top of the Update Utility screen, do not proceed
and review the SR3 update instructions on the ACS website… be sure you have followed
all steps in Phase 1 and Phase 2.
2. SR2 … If you have previously installed & are using the
"AutoEDMS aVue" server-based viewing system, perform steps 2a
thru 2d. PLEASE NOTE: Step 2 is not for sites running the
“aVue Desktop Edition” (AVDE) viewer as provided in more recent “bXXX” releases
– AVDE is a completely different viewing system from “AutoEDMS aVue”.
a) Take AutoEDMS out of Maintenance Mode temporarily with AE Administrator.
b) At the fileserver, run the aVue "Server Engine Setup" program (SetupInetViewer.exe) and select [Stop View Server]. The SetupInetViewer.EXE can be found in the BIN subfolder of the main AutoEDMS installation folder (normally named AEW65).
c) If the "AutoEDMS Services Manager" service has been installed, you will need to uninstall it. The quick way to tell if was installed is to run Task Manager at the server and look on the Process tab... sort the "Image Name" column alphabetically, and if you see an item named "aeservicesmgr.e", then Services Manager was installed. You can uninstall it from the AE InfoCenter… go to “Setup, Maintenance & Development Tools” > “Setup” > “Server Applications” > “AutoEDMS Services Manager”.
d) Put AutoEDMS back into "Maintenance Mode" with AE Administrator.
3. The Update Utility should still be running where you left off in Phase 2, showing there are 538 files to be copied to the update area. The number of files to be copied could be smaller if you are running the r2sr2 release or a “bXXX” release.
4. Pick [Retrieve updated files…].
5. Pick [Apply the updates] when the button appears.
NOTE: During the Apply, if you receive a “warning” that a current file is newer than the update, we recommend the following: (a) write down the path and name of the file, (b) select [Yes] to keep your current copy, and (c) contact ACS Tech Support with the list of files. Please do this before you proceed any further with this update – we will advise you concerning whether or not to overwrite the file(s) you report, and then you can re-Apply the update with this information.
6. Pick [Close] to exit the Update Utility after all files are applied.
7. Please READ THIS STEP Carefully – Next you will be prompted about running the Up65to67.exe conversion program…
a) If your current release of AutoEDMS v6.5 was “r2” or “r2s1”, you need to make sure that ALL checkboxes in Up65to67 are selected before you pick [Run] to proceed.
b) SR2 … If you are running the “r2sr2” release or a “bXXX” release, it is assumed you have already run Up65to67 once, so you should not need to do four (4) of the conversions (see Note 1 below). The one (1) conversion option you need to run is "Perform Btrieve upgrade of Forms, Users and Applications databases" (see Note 2 below). With this one option checked, pick [Run] to proceed.
NOTE 1: A quick
way to determine if the Up65to67 program has ever been run is to look for a
file named Users670.DAT in the DATA subfolder under the main AutoEDMS
installation folder. If the
Users670.DAT file exists, the Up65to67 program has been run at least once. If you find Users650.DAT file but no
Users670.DAT, then Up65to67 has not been run, so you need to run it with
all options checked.
NOTE 2: If the Btrieve version of your files has already been updated, no changes will occur even if you check the option, so no harm will come to them either way.
8. Follow the prompts in the Up65to67 program – you will need to pick [OK] a few times.
9. When the Up65to67 program activates the “Viewer Manager” utility (for r2 and r2s1 installations), we recommend you simply pick [Next] through the screens and then pick [Finish] without making any changes. You will find further information about AutoEDMS viewer options below, at the end of this document – please study the viewer options info before you make any changes.
10. When the Up65to67 procedures are complete, in the process window of Up65to67 you can read the information the steps performed. There may be some information about backup files that can be deleted (if applicable) – you can delete the backup files, but be very careful not to delete any working files. It is not necessary to delete the backup files – they will not interfere with AutoEDMS operations..
11. Pick [Close] to end the Up65to67 program.
12. See the NOTE below. From the AE InfoCenter (under “Configuration Tools” > “Setup”), run the AE Authorization program, then pick [Authorize Now]. Once you receive the "AutoEDMS has been modified…" message, you can pick [OK].
NOTE: The above step assumes you were running a licensed copy of AutoEDMS and had previously applied Access Codes. If you are running AutoEDMS in "Evaluation Mode", you won't need to perform the Authorization procedure in step 12.
13. SR2 … If your site is running a “beta SR3” copy of AutoEDMS (bXXX) and you have already been using an early release of the AVDE viewer, you will need to update to the current AVDE fileset:
a) Run the “aVue Desktop Edition Setup” option from the Setup branch of Configuration Tools in the AE InfoCenter.
b) Pick [Reinstall Viewer], pick [Yes], then files will be installed.
c) When all files are installed, you will be advised to enter a License Key. Pick [OK].
d) Pick [License Key] – your current license key should be displayed. Pick [OK] to re-apply it, then pick [OK] when done.
e) Pick [Exit Setup] to close the SetupAVDE program.
14. Changes to viewing systems can take place at this time, or you can take AutoEDMS out of "Maintenance Mode" from the AE Administrator and allow users to once again run AutoEDMS. See “Viewing System Changes for SR3” for more information.
15. Test AutoEDMS by logging in, performing search operations & workflow procedures, and test the viewers. Assuming you have made no changes in Viewer Manager, your previous viewer configuration should be unchanged and working as it did before the SR3 update.
16. If you encounter difficulties during or after applying the SR3 update, please contact ACS Software Tech Support by sending an email to tech.support@acssoftware.com or by calling (310) 755-6040 and selecting option 2 to leave a message. A support representative will answer your email or call as soon as possible, usually within 2 hours during normal business hours.
The SR3 update for AutoEDMS v6.5 introduces a new viewing system – “aVue Desktop Edition”, also known as “AVDE”. The server-based “AutoEDMS aVue” system is still offered and supported, but is now recommended only for those who use AutoEDMS via the “Web Publisher” interface. The legacy viewers, CAD Viewing Module and Document Viewing Module, are still available, but are no longer being updated to support newer file formats. In v6.5 r2sr3 it is still possible to configure “external viewers” for use with AutoEDMS, but ACS Software recommends you try the AVDE viewer to see if it meets your viewing & printing requirements.
NOTE: To find documentation on AutoEDMS viewing configuration, run the “Viewer Manager” from AE InfoCenter… you’ll find it under Configuration Tools > Setup. In the Viewer Manager wizard, pick [Help] to display documentation on configuring viewers, and click the left or right arrow to expand the contents pane and see a variety of viewer-related topics.
If You Are New to AutoEDMS… We highly recommend using the AVDE viewing system, which supports over 200 file formats, including AutoCAD 2007. To use AVDE for viewing all file types you manage, run the “aVue Desktop Edition Setup” option from the AE InfoCenter under Configuration > Tools. When you get to the “SetupAVDE” program, pick [Help] for complete instructions.
If You Have Been Using the “AutoEDMS aVue” Viewing System… If you’ve been running the server-based “AutoEDMS aVue” viewing system since applying the SR2 update, consider switching to AVDE, particularly if the majority of your users run AutoEDMS over your local network. AVDE will load up files to view much more quickly than aVue, and it requires no configuration at the fileserver machine.
NOTE: Server-based AutoEDMS aVue is the only viewing & printing option for those using the AutoEDMS “Web Publisher” interface. AVDE does not operate in the Web Publisher environment.
To switch over to AVDE for viewing all file types you manage, first contact the ACS Software Sales Dept. to convert your aVue license to an AVDE license key. Once you have the AVDE license key, run the “aVue Desktop Edition Setup” option from the AE InfoCenter under Configuration > Tools. When you get to the “SetupAVDE” program, pick [Help] for options and complete details.
If You Wish to Continue Using “AutoEDMS aVue”… A new release of the server-based AutoEDMS aVue, 19.1, is included with the SR3 update. Please follow the instructions below:
NOTE: Before you remove your current AutoEDMS aVue software, contact the ACS Software Sales Dept. to obtain a license key for the 19.1 version of AutoEDMS aVue. You can use the older aVue version while awaiting your 19.1 license key.
1. Take AutoEDMS out of Maintenance Mode.
2. At the fileserver (or view server) machine, use the aVue Server Engine Setup program (SetupInetViewer.exe), and select [Remove Viewer] to remove the currently installed AutoEDMS aVue software.
3. Next, pick [Add Viewer] to install the AutoEDMS aVue software... you will be adding version 19.1 of the aVue software. For more information on aVue software setup, pick [Help] in the aVue Server Engine Setup program. Be sure to apply your new 19.1 license key before you test viewing – aVue 19.1 will not operate without a license key.
4. Viewer Manager will also need to be updated to utilize the latest interface for AutoEDMS aVue. The simplest way to accomplish this is as follows:
a) Locate the GLOBAL.VIN file in the Viewers folder under _SysRoot:Data, and rename it so it won’t be used.
b) Run Viewer Manager, which will create a new GLOBAL.VIN file that contains the updated “AutoEDMS aVue Web Publisher” viewer configuration.
c) Pick [Next] until you get to the “Viewer Extension Associations” page – change the assignment for the * extension from the AVDE viewer to the AVWP viewer (“AutoEDMS aVue Web Publisher”).
d) Pick [Next] then pick [Finish] to save the changes.
If You Have Been Using “Legacy Viewers” or “External Viewers”… You can continue using the same viewer configuration as before you applied the SR3 update, but we highly recommend you switch to the AVDE viewer. If you want to evaluate AVDE before you make the decision to switch, contact the ACS Software Sales Dept. for an AVDE evaluation license key.
Once you have the AVDE
evaluation license key, run the “aVue Desktop Edition Setup” option from the AE
InfoCenter under Configuration > Tools.
When you get to the “SetupAVDE” program, pick [Help] for options and
complete instructions.
